Procurement to Payment User Journey

Project goal

At Sage Intacct, an accounting software company, one project I led was user discovery to gain greater understanding of the purchaser and account payable personas and their steps in the procure-to-payment process. The information elicited would inform the design of new AI-driven capabilities in the accounts receivable module. This was a time-boxed endeavor; I was given the freedom to choose how I wanted to gather information but needed to wrap up the work within 60 days. I was asked to create a Journey Map to showcase my findings.

My role and tasks

I was the sole resource assigned to the effort. I chose to interview existing users remotely, conducting contextual inquiry. Tasks included:

  • Developed a research plan.
  • Recruited participants and scheduled interviews.
  • Wrote a facilitator’s script, with prompts to ensure certain topics were discussed.
  • Analyzed interviews and documented contextual information.
  • Bookmarked significant moments in the interview recordings.
  • Created a journey map (View in full size).
  • Created a video recording in which I walked through the journey map and distributed it to stakeholders.

Other work from my time at Sage include user stories I wrote to assist a busy Product Manager.

The first, Purchase Order Matching, was related to the Procurement to Payment process. The feature added AI capability to matching incoming vendor invoices automatically to existing purchase orders. Phase one only dealt with one-to-one document matches.

The second story, Dunning Notices, added a new feature to automatically generate letters to clients with an overdue balance.
